2. Acceptance of Terms

By submitting a watch for service, using our website, or engaging us in correspondence about our services, you agree to be bound by these Terms & Conditions. If you do not agree, please do not submit a watch or proceed with a service enquiry. Our services are available to individuals aged 18 and over.

3. Services Offered

Gearvane offers three categories of watch service:

Service availability is subject to complexity of the watch and current workshop capacity. We may decline to service a watch that falls outside our scope, and will advise you accordingly before work begins.

4. Pricing and Payment

Prices are quoted in Malaysian Ringgit (MYR). Published prices represent the starting price for each service. Final cost may vary depending on additional parts required or additional complexity discovered during assessment. You will be informed of any cost variation before work beyond the agreed scope proceeds.

Payment is due on collection unless a prior arrangement has been agreed in writing. We accept cash, bank transfer, and major debit cards. Watches will not be released until payment is received in full.

5. Scope Changes and Additional Work

If, during the service, we identify work that was not part of the original agreed scope and believe it would benefit the watch, we will contact you before proceeding. No additional work will be carried out without your knowledge and consent. You retain the right to decline additional work without affecting the completion of the originally agreed scope.

6. Intake and Condition Records

On receipt of a watch, we will document its condition at intake. Any pre-existing damage, missing parts, or wear will be noted. This record protects both you and Gearvane and forms part of our service agreement. We ask you to review and confirm the intake record before work begins.

7. Timelines

Estimated timelines are provided in good faith based on current workshop capacity and anticipated complexity. Delays can occur due to parts availability, unforeseen movement condition, or workload. We will contact you if a timeline changes. We are not liable for losses arising from service delays, including delays caused by third-party parts suppliers.

8. Original Parts

For Bespoke Restoration services, all original parts removed from your watch will be retained and returned to you alongside the completed piece. For other services, replaced components such as gaskets and batteries are disposed of as a matter of course. If you wish to retain specific replaced parts, please advise us at intake.

9. Limitation of Liability

We take all reasonable care in handling watches submitted to us. In the event of accidental damage caused by our work, our liability is limited to the cost of remedying the damage or the appraised value of the watch at intake, whichever is lower. We are not liable for pre-existing conditions that worsen during servicing where those conditions were not apparent at intake.

We are not liable for indirect, consequential, or special damages, including loss of sentimental value, lost use, or commercial loss.

10. Uncollected Watches

If a watch is not collected within 60 days of notification that service is complete, and we are unable to reach you, we reserve the right to apply a reasonable storage fee. Watches not collected within 180 days may, at our discretion, be considered abandoned. We will make all reasonable efforts to contact you before this point.

11. Postal and Courier Services

Watches sent to us by post or courier are the responsibility of the sender during transit. We recommend using a fully tracked and insured service appropriate to the value of the piece. We are not liable for loss or damage in transit to or from our workshop. Please contact us before sending a watch so we can advise on safe packaging.

12. Warranties

We stand behind the quality of our work. If a fault directly attributable to our service arises within 90 days of collection, we will assess and address it at no additional charge, subject to the watch not having been altered, mishandled, or exposed to conditions beyond its specification after collection. No warranty is provided for wear and tear, accidental damage, or conditions unrelated to the service performed.

13. Intellectual Property

All content on the Gearvane website — including text, images, and structure — is the property of Gearvane and may not be reproduced without written permission.

14. Dispute Resolution

We encourage you to raise any concerns with us directly in the first instance. Most issues can be resolved through open communication. If a resolution cannot be reached, disputes shall be governed by the laws of Malaysia and subject to the jurisdiction of the courts of Kuala Lumpur.

15. Changes to These Terms

We may update these Terms & Conditions from time to time. The version on this page represents the current terms. Continued use of our services following an update constitutes acceptance of the revised terms.
